OFFICE ROXX: Mr. Klopp, how are modern workplace concepts like coworking spaces, hot desking, or hybrid teams changing the requirements for printing environments?

Simon Klopp: Today’s working day often takes place in large open-plan offices, coworking spaces, or on the go. In many organizations, printing systems are shared – across departments, changing teams, or even external partners. This creates new requirements: Who is allowed to print what and when? How can we ensure that confidential information is only retrieved by authorized persons? The answer lies in secure, user-based access control – independent of the device, technology used, or location.

OFFICE ROXX: What security gaps and data protection risks arise when printing in open work environments?

Simon Klopp: In open printing environments, printouts are often left unattended in the output tray. Information can easily fall into the wrong hands – a clear violation of data protection regulations such as the GDPR. Without authentication, there is also no traceability of who used which functions of the device and when. Only user-based authentication protects against unauthorized access and creates the necessary transparency.
